Humly Booking Device - Presence Detection

Enhance Your Office Space Utilization with Automated Booking Prompts

To enable booking prompts via presence detection, the required version of Humly Control Panel and Humly Booking Device is 1.27 or later.

Note! The Humly Room Display is not supported (missing accelerometer for detecting vibrations).

Enabling presence detection will allow your organization to gather presence detection statistics for desk bookings in the Humly Control Panel. If bookings are created from the booking system calendar (e.g., M365, Exchange, Google, etc.), Humly Reservations, or directly on the Humly Booking Device using authentication (PIN or RFID), you will be able to see presence statistics for users and their bookings in Statistics.

Note: Please ensure that your organization is comfortable with gathering these statistics about employees before enabling presence detection.

How to enable presence detection prompts for Desks

  1. Access the Humly Control Panel and navigate to the Resources page.

  2. Ensure the resource type Desk is selected.

  3. Click on the Desk settings tab.

  4. Select one or many desks and click Edit Selected. Alternatively filter by location and click the edit button for a specific structure.

  5. In the General Resource Settings,  the following settings are required to be enabled:

    1. Under Booking settings, ensure Enable ‘Make instant booking’ is enabled.

    2. Under Presence detection, ensure Enable detecting user presence is checked.

  6. Click Save.

When presence detection is active, and presence is detected via vibrations, the Humly Booking Device will display a prompt asking if the user wants to book the resource.

If  Humly Booking Device detects a certain amount of vibrations within a 1-minute period, it will prompt the user to book the resource. Occasionally, there may be a delay in the message appearing due to extended intervals between vibrations, which do not qualify as presence.

How does it work?


If a user sits or interacts with a desk that is  Available, and the device’s built-in accelerometer detects presence via vibrations, a message will prompt the user to book the resource.

If the user confirms and makes a booking, the device status will change from Available to Ongoing and no more prompts will appear on the device for the duration of the booking.

Important Note!
If the user leaves the desk before the scheduled end of the booking, the booking will not be cancelled due to absence of presence. Manual cancellation is required.

What happens if the user doesn't book the resource?


User inactivity

If the user does not interact with the prompt within 5 minutes, it will disappear. If presence is still detected and the desk is available, the prompt will reappear after 10 minutes. This cycle repeats until the user books the desk or leaves.


User cancellation

If the user taps the Cancel button on the prompt, it will disappear. The message will reappear within 10-15 minutes if presence is still detected and the desk remains available.

Upcoming booking and Check-in

10 minutes before a scheduled booking starts, the Humly Booking Device will update its status and display information about the upcoming booking using yellow text and LED. During this period, the presence detection prompt will be blocked.
