Connect Humly Control Panel to TOPDesk

This article will cover the steps in how to connect the HCP to TOP Desk.

After the successful installation, Humly Control Panel is ready to connect to the booking system through the wizard. Select your booking system from the drop menu and continue with the details below for each booking system.

  1. Choose the TOPdesk booking system and click on the Next button.


  2. Based on your HCP setup, if it is an on-premise installation, you will see the internet access settings. Fill in the proxy settings if that is needed.

  3. On the Login with your newly created TOPdesk account page, fill in the login details, and click Next.

    • TOPdesk service email: the account you have created as an Operator in TOPdesk, and you want to use for setting up the booking system.
    • Service URL: TOPdesk URL, it might vary based on your license, it is the same you have used for creating the operator account.
    • Username: The username is the one you created as the operator login while creating the operator account.
    • Password: The Application password you have created during the TOPdesk preparation.

  4. Set up a global admin account, add an extra account if this is needed.

  5. Copy the automatically generated password and save it if needed, click Next.

  6. If HCP setup mode is on-premise, you will see the below screen to provide certificate details to secure the connection into HCP. Upload the files if needed and click Next.

  7. Depending on the installation mode, if you are using Humly Cloud, you will be asked to provide a Pairing Key, which will be used to pair the HCP and the Humly Room Display in a later stage. Please remember the Pairing Key and choose a key which will be easy to enter on the HRD device.

  8. Accept the terms of service.

  9. Set up Humly Control Panel Global Settings. You can modify the settings at any time later.

  10. On the Buildings and Structures page, create a structure according to your setup, then select the HCP resource type you want to add, then select the TOPdesk resource type and click Import. Drag and drop the imported resources into the created structure and click Finish.


  11. After the setup wizard has finished, you should see the monitoring page and you are ready to connect devices to HCP.


Troubleshooting

HCP cannot connect to TOPdesk – login credentials rejected

If HCP returns an authentication error when you enter the TOPdesk credentials, check the following:

  • Verify that you are using the Application password created in TOPdesk, not your personal login password. Application passwords are created separately under the operator account settings in TOPdesk.
  • Confirm that the Service URL is correct and matches the URL you use to access TOPdesk. The URL must include the protocol (https://) and must not have a trailing slash.
  • Ensure the operator account has not been locked or disabled in TOPdesk.
  • If you recently changed the application password in TOPdesk, update it in HCP under Settings → Global Settings → Booking System.

Rooms or desks are not available to import in step 10

If no resources appear in the import list, the most common causes are:

  • Resources in TOPdesk must have their Type set to exactly Room or Desk for Humly Control Panel to be able to import them. Without this, the resources will not appear in the import list at all. These types must be created in Reservations → Settings → Resource types in TOPdesk before importing. See Booking System Preparation – TOPdesk for step-by-step instructions.
  • The TOPdesk operator account does not have the required permissions to read reservations. Verify that the operator has read access to the Reservations module in TOPdesk.

The connection test passes but rooms do not sync to HCP

If the credentials are accepted but bookings or room availability do not appear in HCP:

  • Check that the rooms have been imported and placed within a structure in HCP (Country → City → Building → Floor).
  • Confirm that the TOPdesk service account has permission to read and write reservations for the specific resources you imported.
  • Restart the HCP service if on-premise HCP and allow a few minutes for the initial synchronisation to complete.
