Guest Account - Introduction

No matter if you are a small to medium sized or large business or even an enterprise, adding Guests to Humly Control Panel will increase the flexibility and inclusion in your workplace.
By adding Guests in Humly Control Panel you expand the possibility for people not within your organisation to book meeting rooms.

Guests are supported for all booking systems that Humly supports (Office365, Google Workspace, Exchange 2013-2019, HCL Domino, Standalone) except Nexudus.

Guest Access

For every meeting room your organisation has in Humly Control Panel you have the option to make it available for Guests to book from the Humly Room Display and from Humly Reservations by enabling Guest Access. But it can also work the other way around, your organisation can decide which meeting rooms Guests are not allowed to book by disabling Guest Access.

A Guest who has access to a meeting room also has the permission to do everything else the settings for that meeting rooms defines in Humly Control Panel, guests has the same permissions as people within your organisation.

For example, if Guest Access is enabled and the room settings allow…

  • … bookings of instant and future meetings, any Guest will have the same permission.

  • … ending ongoing or delete future meetings, any Guest will have the same permission.

  • … extend ongoing or modify future meetings, any Guest will have the same permission.

  • … report broken equipment, any Guest will have the same permission.

 

If the meeting room has disabled Guest Access the room will not show up in Humly Reservations. If a Guest tries to book the meeting room on the Humly Room Display they will get notification that they’re not allowed to book room.


Add Guests For Every Workplace

A Guest in Humly Control Panel is our way of describing a person outside the organisation but who still has the permission to book meeting rooms directly from the Humly Room Display as well as from Humly Reservations. A Guest can be any kind of people or team members that you want to give permission or restrictions to book certain meeting rooms (i.e. consultants, freelancers, temps, hired contractors etc.)

Coworking Spaces

Are your organisation sharing the workspace with other people and companies? Are you a facility manager for a coworking space where people and businesses share meeting rooms? Humly Reservations and Guest accounts will greatly increase the flexibility and accessibility to your meeting rooms for everyone.

By giving everyone access to Humly Reservations, anyone who has been added as a Guest in Humly Control Panel can book meeting rooms that they’re allowed to book from their desktop or mobile phone.

Small to Medium Size Businesses

Do your organisation exist of a core set of employees but then you also have external consultants, freelancers and other types of members in your team? Adding them as Guests in Humly Control Panel gives them access to meeting rooms while not having to add them to your organisation’s booking system backend (i.e. Office365, Google Workspace etc.) saving you both time and money.

While your employees can book a meeting room from their calendar or from Humly Reservations, the consultants, freelancers and others can log into Humly Reservations and book only the meeting rooms they’re allowed to book.

 

Every time you add a Guest account in Humly Control Panel an email with their account information and a link to Humly Reservations is sent to the guest.


Large Businesses and Enterprises

Just like for small to medium sized businesses, adding Guests in Humly Control Panel will have the same benefits for larger businesses and enterprises. Adding consultants, freelancers and others as Guests, and they will have access to whichever meeting room you give them access to from the room settings in Humly Control Panel.

If your business operations spans to other countries, cities and offices across the globe, you can give Guests access to meeting rooms there as well. So for Guests working from different offices and even internationally will not limit their Guest Access unless your organisation choose to.
